Children’s Welfare & Operations Coordinator (Part-Time)

Playbox Theatre is seeking a highly organised, proactive and people-focused individual to join our team as a Children’s Welfare & Operations Coordinator.
This is a varied and rewarding role combining day-to-day operational coordination with responsibility for supporting the welfare and safeguarding processes that help keep our young people safe, supported and able to thrive creatively.
You will play an important role in helping Playbox run smoothly, safely and warmly — supporting staff, volunteers, parents and young performers across rehearsals, productions and events.
This role would suit someone who enjoys balancing administration, coordination and people-focused responsibilities within a creative, youth-centred environment.
Hours & Working Pattern
- Approximately 20 hours per week
- Flexible working pattern to be agreed
- Some evening and weekend work during production periods
- More regular daytime hours during quieter periods
- Additional hours may occasionally be available during busy production seasons

Key Responsibilities
Operations & Administration
- Coordinate Duty Manager rotas for sessions, performances and holiday activities
- Support the recruitment and onboarding of Duty Managers and volunteers
- Assist with membership administration and parent enquiries
- Support box office and booking administration
- Coordinate Front of House (FOH) volunteers
- Liaise with internal teams including café and FOH staff
- Manage general office administration including phone and email enquiries
- Order office and FOH supplies as required
Children’s Welfare & Safeguarding
- Support and coordinate Playbox’s safeguarding and welfare procedures
- Help ensure safeguarding policies and processes are maintained and followed
- Work alongside senior leadership on welfare matters where required
- Liaise with the Local Education Authority (LEA) regarding child performance licensing
- Ensure child licensing and welfare documentation is complete and compliant
- Maintain oversight of DBS tracking and records
- Support staff and volunteers with welfare-related concerns
- Assist with the annual review of safeguarding policies and procedures
Productions & Compliance
- Coordinate licensed chaperones and volunteer parent chaperones
- Prepare welfare and compliance documentation for productions
- Attend selected performances and liaise with local authority representatives where required
- Support the implementation of risk assessments and welfare procedures
Training & Standards
- Organise First Aid training for staff and chaperones
- Support the induction and training of volunteer teams
- Promote a positive culture of welfare, safeguarding and professionalism across the organisation
Health, Safety & Wellbeing
- Maintain First Aid kits and supplies
- Monitor and record incidents appropriately
- Support communication with parents/carers following incidents where needed

Skills & Experience
Essential
- Strong administrative and organisational skills
- Experience working with children or young people
- Ability to manage confidential information appropriately
- Good working knowledge of Microsoft Office
Desirable
- Experience supporting safeguarding or welfare procedures
- Knowledge of child performance licensing
- Experience within theatre, education, arts or community settings
- Experience coordinating staff or volunteers
Training & Requirements
- Enhanced DBS check (or willingness to obtain one)
- Willingness to undertake First Aid training
- Safeguarding training supported where required

Additional Information
Salary: £15.00 – £16.50 per hour depending on experience
Hours: Approximately 20 hours per week
Contract: Part-time
